Waiting List Management

Manage customer requests for out-of-stock or made-to-order products.

Creating a Waiting List Entry

  • Customer — The interested customer
  • Product — The desired product (optional)
  • Description — What the customer is looking for
  • Priority — Low, Normal, High, Urgent
  • Status — Waiting, Notified, Fulfilled, Cancelled
  • Notes — Additional details
  • Requested At — When the request was made

Workflow

  1. Customer requests a product that is not available
  2. Staff creates a waiting list entry
  3. When product arrives, status updated to Notified and customer contacted
  4. Customer purchases — status updated to Fulfilled
  5. If customer cancels — status updated to Cancelled

Integration

Waiting list entries appear on the customer profile, giving staff visibility into what each customer is waiting for.

Best Practices

  1. Be specific — include exact specifications
  2. Set priority appropriately — VIP customers get higher priority
  3. Follow up promptly when products arrive
  4. Check waiting lists when receiving new inventory
  5. Clean up old entries regularly
