Track gemological certificates and other product certifications with full document management and expiry tracking.
Accessing Certifications
Navigate to Inventory > Certifications.
Certificate Fields
Each certification record includes:
- Certificate Number — Unique identifier from the issuing authority
- Issuer — The certifying laboratory (GIA, AGS, SSEF, Gübelin, IGI, HRD, etc.)
- Product — The product this certificate belongs to
- Issue Date — When the certificate was issued
- Expiry Date — When the certificate expires (if applicable)
- Status — Active, Expired, Revoked
- Document — Upload the actual certificate (PDF or image)
- Notes — Additional information

Expiry Tracking
Certifications with expiry dates are tracked automatically:
- The Inventory Dashboard highlights certificates nearing expiration
- This ensures you maintain valid documentation for high-value stones and jewelry
Document Storage
Certificates are stored via Spatie MediaLibrary, supporting:
- PDF documents
- JPEG/PNG scans of physical certificates
- Multiple documents per certification record
Best Practices
- Scan all certificates — Upload digital copies immediately upon receipt
- Link to products — Always associate certificates with their products
- Track expiry — Review expiring certifications monthly
- Verify authenticity — Cross-reference certificate numbers with issuer databases
- Customer access — Provide certificate copies to buyers of certified products
