Certifications

Track gemological certificates and other product certifications with full document management and expiry tracking.

Accessing Certifications

Navigate to Inventory > Certifications.

Certificate Fields

Each certification record includes:

  • Certificate Number — Unique identifier from the issuing authority
  • Issuer — The certifying laboratory (GIA, AGS, SSEF, Gübelin, IGI, HRD, etc.)
  • Product — The product this certificate belongs to
  • Issue Date — When the certificate was issued
  • Expiry Date — When the certificate expires (if applicable)
  • Status — Active, Expired, Revoked
  • Document — Upload the actual certificate (PDF or image)
  • Notes — Additional information

Expiry Tracking

Certifications with expiry dates are tracked automatically:

  • The Inventory Dashboard highlights certificates nearing expiration
  • This ensures you maintain valid documentation for high-value stones and jewelry

Document Storage

Certificates are stored via Spatie MediaLibrary, supporting:

  • PDF documents
  • JPEG/PNG scans of physical certificates
  • Multiple documents per certification record

Best Practices

  1. Scan all certificates — Upload digital copies immediately upon receipt
  2. Link to products — Always associate certificates with their products
  3. Track expiry — Review expiring certifications monthly
  4. Verify authenticity — Cross-reference certificate numbers with issuer databases
  5. Customer access — Provide certificate copies to buyers of certified products
