Inventory Overview

Aurelia Hub provides comprehensive inventory management designed for the unique needs of jewelry retailers — from precious metals to loose gemstones.

Multi-Warehouse Support

The system supports multiple warehouses/locations:

Creating Warehouses

Navigate to Inventory > Warehouses and create locations:

  • Name — Location identifier (e.g., "Main Store", "Vault", "Workshop")
  • Address — Full address (line 1, line 2, city, state, postal code, country)

Warehouse Functions

Each warehouse:

  • Holds products, metals, and stones
  • Has its own address record
  • Supports transfers to/from other warehouses
  • Displays full address via the full_address attribute

Stock Levels

Every product maintains stock level records:

  • Current Quantity — Total units in stock
  • Available Quantity — Units available for sale (excluding reservations)
  • Location — Where the stock is held
  • Last Updated — Timestamp of the last stock change

Stock levels are automatically updated when:

  • Products are sold via POS
  • Stock movements are recorded
  • Manual quantity adjustments are made

Product Stock Status

Status Condition Action Needed
In Stock Quantity > 10 Normal
Low Stock Quantity ≤ 10 Consider reordering
Out of Stock Quantity ≤ 0 Urgent reorder needed

Inventory by Product Type

Finished Products

Standard inventory tracking with quantity, warehouse assignment, and stock levels.

Loose Stones

Tracked individually or in lots, with gemological data (stone type, weight, color, clarity, certification).

Components

Parts used in production/assembly. Stock is consumed when assemblies are built.

Inventory Value

Track your inventory investment:

  • Cost price per product gives the total inventory value
  • Selling price gives the potential retail value
  • The difference represents your potential gross margin

Best Practices

  1. Regular stock counts — Perform physical inventory counts periodically
  2. Use stock movements — Always record changes formally (not just editing quantity)
  3. Set up alerts — Configure stock alerts for critical items
  4. Track by warehouse — Assign every product to its warehouse
  5. Document adjustments — Always add notes when making manual adjustments
